The second step to setting up the Client Manager extension is customizing the “Client Introduction” email. This option allows you to send out an introduction email explaining how to login to their account to view galleries/albums and how to set their password. This email can be sent when adding clients to your WordPress install saving you extra work. Additionally when ANY of the email options below are sent the action is logged in that client’s notes section of our plugin. This is a great way to double check that you have sent emails out to your client successfully. We’ll go that in more detail on Step 6.
This is the main menu for the Email Settings and contains the From Name and From email you need to set. The From name should probably be your site name. The from email is where you add the email address you want the Client to see the email came from. Best practice is to use your website domain name as the email. So if your website name is mygalleries.com you would want your email to be something like firstname.lastname@example.org.
Email: Client Introduction
To customize the “Client Introduction” email you must be logged into your WordPress Dashboard. Then go to the FT Gallery tab > Settings > Emails tab > Client Introduction. In this the text area you can customize and edit the email to fit your branding, HTML is accepted too. We have included a list of tags that are used for including dynamic information. In Step 3 we will show you when this email is sent and how you can resend the email if necessary.
Email: Gallery Invite
After you are done editing and saving the Client Introduction email you can move on to the Gallery Invite email option. This email is sent when you click the “Send Invite” link after adding a Client to a Gallery. Below are the default options for the Gallery Invite email but you can change the text and dynamic info.
To send this email you would click the Send Invite link next to the Client name in the Gallery. We’ll go over how to add Clients to a Gallery in Step 4.
If you have already clicked the “Send Invite” link it will change to “Resend Invite”. This is useful if your client did not get the email the first time and also helps you know that you’ve sent an email once already.
Email: Gallery Updated
This email option is useful if you are going to be making changes to a Gallery your client has already viewed. The photo below contains some default content but again you can change the text and dynamic info around any way you like.
This email can be sent when you click the “Notify Updated” link on a Client in a gallery. We’ll show you how to add Clients to Galleries & Albums in Step 4.
Email: Album Invite
This email is sent when you click the “Send Invite” link after adding a Client to an Album. Customize this email how you want first and again in the next step we’ll show you how to send this email to your Client or Clients. Below are the default options for the Gallery Invite email but you can change the text and dynamic info.
Email: Album Updated
This email option is useful if you are going to be making changes to an Album your client has already viewed. The photo below contains some default content but again you can change the text and dynamic info around any way you like.
The Actions to send emails are the same for Albums.
